Using the Calendar

Calendar/Ticklers
The main calendar screen is accessible via the "Calendar" link on the Quick Links section at the bottom of each Pika screen. There are several options for viewing calendar items. The system defaults to "Day View."
Day View displays the list of items you have entered onto the calendar for today. If items appear under the "Overdue Items" header, these are tasks you have entered into the calendar that you have not yet marked as complete. Under the "Today's Pending Items" header are tasks that you have entered as needing attention today. Your "To-Do List" displays general tasks that may carry over from previous days.
The "Time Slip and Activity Log" header displays items that you have marked as complete today along with a running tally of hours completed. The "Time/Funding" breakdown lists hours you have entered in time-keeping or case notes today. If applicable, this section will also display the funding type you designated for each completed task, such as LSC or HUD.
On each calendar screen, the "Actions" menu appears on the right. If you want to enter a new "tickle" (a function you can use to have Pika display a reminder), click "Add New Tickle." You can also "Add a New Time Slip" (for information about adding time slips, see the "Adding Time Slips" section) and track time using the Popup Timer.
Adding a New Calendar Entry
From the "Actions" header on the Calendar screen, you can select "New Calendar Entry." On the screen that follows, enter a summary of the item you want to appear in calendar along with specific notes pertaining to the entry. The text you enter in the "Summary" field will appear on your calendar when you view it. Under "Date," the system defaults to today's date, but you can change the date manually to add future tasks or appointments to the calendar. You may also adjust the start and end times, and type of activity (the values for this drop-down menu will vary by organization). The system will display your name under "Staff," but you can choose a different colleague from this drop-down menu if you want to add an entry to another person's calendar. You may also choose a case number and/or funding source, if applicable.
View Another Person's Calendar
If you would like to view details of another person's calendar, choose the name of the staff member whose calendar you would like to see from the drop-down menu under the "Actions" header. If you would like to view calendars for more than one other staff member, you may do so in the "Advanced" menu. See below for more information.
Other Calendar Views
In the main calendar screeen, there are several options for viewing your calendar entries. If you would like to view your week's entries at once, click the "One Week" tab at the top of the screen. Similarly, you can view four weeks time at a glance by choosing the "Four Week" tab.
Advanced Calendar Viewing
By clicking the "Advanced" tab in Calendar, you can customize the calendar entries you view. You can view calendars of other staff by selecting their names from the "Staff" list. To choose multiple staff members, hold down the "control" key on your computer and click the names of those whose calendars you would like to see from the list. If your organization employs Pro Bono Attorneys and those attorneys use Pika calendar, you may also select their names from the "Pro Bono Attorneys" list.
If you would like to view calendar entries for a specific date or period, enter the start and end dates in the corresponding fields. You may also choose to view only complete or incomplete calendar entries and to narrow your search by case number, office, account type, and funding source. You can limit the number of calendar entries Pika will display by entering a number in the "Max # of Rows to Display" field (the default is 100). You can also choose to display the information in chronological or reverse-chronological order by selecting either "Oldest to Newest" or "Newest to Oldest."
